Quote & Invoice Total Calculator

Enter the line items, an optional discount and a tax rate to get the subtotal, the tax and the total. The order of the calculation is shown below the result.

Line items (1 to 20 rows; the item name is optional; only rows with a unit price and a quantity are calculated)
The unit price can have up to 2 decimal places and the quantity up to 6.
Tax
One tax rate applies to the whole quote. If the tax rate is left blank, no result is shown. A blank is not treated as 0%. Choose "No tax" for a quote with no tax.
%
Rounding (to the cent)
The same method is used for each line's amount (unit price × quantity) and for the tax.
Total (with tax) —
(1) Subtotal (sum of the line amounts)—
(2) Discount—
(3) Total before tax ((1) − (2))—
(4) Tax—
The tax is calculated once, on the total before tax. It is not calculated on each line. The value copied is the total with tax as a plain number, without commas.

The order of the calculation

The total is worked out in this order:

  1. Line amount = unit price × quantity. Each line is rounded to the cent on its own (the default is round half up).
  2. Subtotal = the sum of the line amounts.
  3. Total before tax = subtotal − discount. The discount is taken off before the tax is applied. A discount larger than the subtotal is an error.
  4. Tax = total before tax × tax rate. It is rounded to the cent once, on the total before tax, not line by line.
  5. Total = total before tax + tax.

Rounding is done only where a result has to be a whole number of cents: on each line amount and on the tax. The unit price and the quantity are used exactly as you typed them, and nothing else is rounded along the way.

Tax rate: blank, 0% and "No tax"

The tax rate is the same for the whole quote. The calculator does not handle lines with different rates, a discount entered as a percentage, or rules that differ by country.

Frequently asked questions

Why is the tax calculated on the total and not on each line?

Rounding each line's tax and adding them up can give a slightly different total from rounding the tax once. This calculator uses one rounding on the total before tax. If your invoicing rules require another method, follow those rules.

Is the discount taken off before or after tax?

Before. The discount reduces the total before tax, and the tax is then worked out on the reduced amount.

What happens if I leave the tax rate blank?

No result is shown, so that a missing rate is never read as 0%. Enter a rate, or choose "No tax".

Can I enter a discount as a percentage?

Not in this calculator. Work out the amount first, for example with the Percentage Calculator, and enter it as the discount.
