Work Hours Calculator
Enter the start and end times and your breaks to get the hours worked. Add the scheduled hours to see the difference.
How it is calculated
- Time from start to end = end time − start time. If the end time is earlier than the start time, the end is counted as a time on the next day (a shift that passes midnight).
- Hours worked = time from start to end − total break.
- Difference from the scheduled hours = hours worked − scheduled hours. A positive value means longer than scheduled, a negative value shorter.
The time fields are read as a 24-hour clock. Your browser may display them with AM/PM, but they are read the same way.
Examples
- 9:00 to 18:30 with a 60-minute break: 9 h 30 min from start to end, 8 h 30 min worked (8.5 hours). If 8 hours were scheduled, that is 30 minutes longer.
- 22:00 to 7:00 the next morning with a 60-minute break: 9 hours from start to end, 8 hours worked (a shift that passes midnight).
Converting to decimal hours
Timesheets and payroll often write "8 hours 30 minutes" as 8.5 hours. Divide the minutes by 60 (30 minutes = 0.5 hours, 20 minutes = 0.3333… hours). When the result does not divide evenly, it is rounded to the number of decimal places you choose.
Things to know
- This is a tool for time differences only. It does not check whether breaks meet a legal minimum, whether overtime or night-shift premiums apply, or how much you should be paid. Labor rules differ by country and employer. Check your contract or ask a professional.
- If the start and end times are the same, an error is shown (a 24-hour shift is not assumed).
- If the total break is as long as or longer than the time from start to end, an error is shown.
- To add up several durations or find the difference between two clock times, use the Time Calculator.
Frequently asked questions
Can it calculate a shift that passes midnight?
Yes. If the end time is earlier than the start time, it is counted as a time on the next day, and a note is shown in the result.
What if I took more than one break?
Enter the minutes in Break 1, Break 2 and Break 3. The total is subtracted.
What happens when I enter the scheduled hours?
The difference between the hours worked and the scheduled hours is shown. Overtime pay is not calculated.
